Taking a booking over the phone or in person

Someone rings, or walks up to the desk. You want their seat held and, if they are paying now, paid — without sending them to your website. Two screens do this; which one depends on how much you already know.

Quick book: say who, and go

Sell → Quick book. Type what you know in one line — "2 for AIDA 2 Saturday, Kai Kahale 808 555 1234 [email protected], cash" — or tap a date in the list below the box. Side Quest Booking works out the course, the date, the people and the payment, shows you what it understood, and books it when you say "book it" (or press Book). Best for the common case: one course, one date, no extras.

Take a booking: the full screen

Sell → Take a booking. Pick the course and a date on the calendar (it shows room left on each day and "next with room"), how many of each seat type, any extras, and who is booking. Then choose how they pay:

The confirmation email is a tick box, so you can book someone without emailing them (a walk-up who is already standing there). The forms and waiver links go out the same way as for an online booking, and you can preview and edit any email from the booking before it goes.

Someone else is paying

A parent booking for a teenager, a friend paying for two: tick "Someone else is booking or paying", and the booker's details are kept apart from the people coming. Each person still gets their own forms link.

Dashboard bookings and fees

Bookings you take yourself carry no booking fee. Tax and the card fee are added by default and each can be unticked for that booking — cash never carries a card fee.

Overbooking

If the date is full, Take a booking says so and refuses, once. Press again to book over the limit on purpose (a phone booking for a regular you will make room for). The date keeps its status; only the count goes over.
