Help · Waivers
Uploading your release and placing the fields
Side Quest Booking does not retype your waiver. You upload the PDF you already use — the agency's release, your lawyer's, your medical statement — and mark where each answer and signature should be printed. Your document stays exactly as it is; Side Quest Booking prints on top of it.
Only owners and managers can create or change waivers.
1. Create the waiver
- Go to Waivers in the dashboard and find New waiver.
- Under What is it called?, name it the way your students will see it — "Liability release", "Medical statement".
- Fill it from which questionnaire? is optional. Pick one if the document needs answers from a form (a medical questionnaire, say); the questions are then asked on the same link, right before signing. Leave it on Nothing — just sign it for a plain release.
- Press Create.
2. Add your PDF
Drop the file onto Pages, or choose it. You can add more than one file: a release followed by a medical statement becomes one packet and one signing.
- Up to 20 MB per file, any number of pages.
- It has to be a real PDF. A scan saved as a PDF is fine; a photo is not.
- Password-protected PDFs usually work. If one will not open, save an unprotected copy and upload that.
3. Mark where things go
Press Fields next to a file. Click and drag on the page to draw a box; click a box to change it, drag it to move it, and pull its corner to resize it. Use the page buttons to move between pages.
Each box shows one of these:
| This box shows | For example |
|---|---|
| An answer from the form | "Have you ever had a lung injury?" — the student's answer |
| Something we already know | Full legal name, preferred name, email, phone, date of birth |
| Their signature | The signature line |
| The date they signed | Just the date, or the date and time |
| A computed summary | A list of every question they answered yes to |
Text size is automatic unless you set it. If a box needs to be exact, you can type its position as percentages of the page.
4. Publish it
Press Publish this version. From then on that version is frozen: the wording and the boxes students sign cannot change underneath them. To change it, use Edit — start version 2, which copies the pages and boxes into a new draft. People who already signed keep the exact version they signed.
5. Choose which courses need it
Under Which courses require it?, tick each course. A course can require several waivers. If none is ticked, nobody is asked to sign.
What your students see
- Their booking link lists Sign your waiver. Any linked questions come first.
- They see your PDF with their answers already on it, and cannot sign until they have opened it.
- They type their full legal name and draw their signature.
- Date of birth is always asked. Under 18, a parent or guardian signs and says how they are related.
- They get their signed copy by email and on their booking pass.
For walk-ups and tablets at the desk, Sign on this device on the roster does the same thing in person.
Finding a signed copy
Waivers → Signed lists every signed document, newest first. Search by name, booking, email or waiver, narrow by date, then View or Download. Each shows who signed — the student, or a guardian and their relationship — and any doctor's sign-off.
Archiving and deleting
Archive takes a waiver off your list and your courses and keeps every signed copy; you can restore it later. Delete only works while nobody has signed it. Once anyone has, it can only be archived — a signed document is evidence, and is never thrown away.
